Switching provider

A better payroll provider should not mean a difficult move.

We make the handover structured, transparent and proportionate to your payroll—not needlessly disruptive.

Before the timeline

Switching is a responsibility move, not a file dump.

Changing payroll provider mid-growth—or mid-frustration—only works if the next pay dates, pension submissions and approval route are planned with the same care as the software setup. The aim is continuity for your people and a clean audit trail for you.

How long a switch takes depends on workforce size, payroll complexity, data quality, pay frequency, pension arrangements and how much time you have before the next pay date. We agree a realistic implementation plan after reviewing the requirements—not before.

You can often switch during the tax year, provided the handover is carefully planned and complete payroll records are available. We will assess practical timing with you before committing to a go-live date.

A controlled transition

Five stages. Clear ownership throughout.

From discovery to the first live pay cycle—paced around your deadlines, not a generic go-live slogan.

Stage 01

Discovery

We map pay frequencies, workforce data, pension arrangements, reports, deadlines and access requirements so nothing critical is assumed.

Stage 02

Data review

We confirm what is needed, identify gaps and agree secure transfer methods—before configuration races ahead of the facts.

Stage 03

Build

We configure the payroll process, outputs, approval route and pension administration workflow against the agreed working plan.

Stage 04

Validate

Where appropriate, we compare outputs against existing payroll information before going live, so surprises land in testing—not on pay day.

Stage 05

Go live

We run the first agreed pay cycle with enhanced oversight and a clear contact route while the new rhythm beds in.

“Switching is not about moving data quickly. It is about moving responsibility carefully.”

We assess timing before anyone commits to a go-live.

What to have ready

A practical checklist for a cleaner handover.

You do not need a perfect archive on day one, but the better the starting pack, the fewer gaps we have to chase under time pressure. If something is missing, we will say so early and agree how to close it.

  • Payroll reports and employee records
  • Current pay calendar and submission deadlines
  • Pension-provider details and scheme settings
  • Recent payslips and payroll summaries
  • Details of deductions, benefits, attachments and variable pay
  • Your preferred approval and payment process

After go-live

The first cycles get extra attention.

Once live, the same discipline continues: cut-offs, approval summaries, RTI activity and pension outputs managed against the agreed calendar. The difference in the first cycles is oversight—more checking, clearer contact, and faster escalation if something from the legacy setup still needs tidying.

If you also need pensions brought into a steadier rhythm, we can connect that administration to the new payroll process rather than leaving it as a parallel chase.

Start a switching conversation.

Tell us your next pay dates, headcount and where the current process is creaking. We will assess timing before anyone commits to a go-live.
